The new General Data Protection Regulation (GDPR) will apply from May 25, 2018. This will harmonize data protection within the EU and at the same time strengthen the rights of those affected. Keil BS's values have always been transparency, responsible dealings with our business partners and trust. It is therefore a matter of course for us to treat all data, especially personal data, that you provide to us as strictly confidential and only for the intended purpose in compliance with the legal provisions. Since our company was founded, we have attached particular importance to the protection and security of all data. We guarantee that your data (e.g. in the course of candidate presentations or business initiation/relationship) will never be passed on to third parties without your permission or without your consent.


Responsible handling of your data was and is therefore always guaranteed.


With the following data protection declaration, we inform you in detail about which data we process when you use our websites. We also inform you how and for what purposes we process your data if you have consented to data processing and we work together or if you agree to be included in our candidate pool, how we use this data and which data we transmit to third parties. It is very important to us that you understand the individual aspects and know exactly what your rights are.

3. Data protection for freelancers (subcontractors) / candidates / cooperation partners


a) Data collection

You can register with Keil BS as a freelancer/subcontractor, candidate or cooperation partner via our domains (websites) www.keil-bs.com, www.keil-bs.de, www.jobastronaut.com and www.jobastronaut.de and add your profile to our expert pool (database).


If you would like to apply for a project offer (as a freelancer) or a job offer (as a candidate for a permanent position), this requires registration, in which you must allow us to save your last name, first name and email address. When submitting personal documents, please note that CVs, certificates, cover letters or other data you provide for the purposes of the interview may regularly also contain information about "special categories of personal data" according to Art. 9 of the General Data Protection Regulation (e.g. a photo that reveals ethnic origin, information about severe disabilities, etc.). Keil BS would like to evaluate all candidates only according to their qualifications and therefore asks that such information or "special categories of personal data" be refrained from if possible. If you nevertheless send us information of this type, you agree that we can process this information and transmit it to third parties in accordance with this data protection declaration. Details on the content and scope of your consent follow below.


Data for the purpose of registration will only be transmitted to us if you have declared by clicking the corresponding checkbox (opt-in) that you consent to the collection, storage, processing, use and transmission of your data in accordance with this data protection declaration.


Keil BS is a Google Maps reseller and specialized IT service provider, among other things, for the placement of highly qualified IT experts.


That is why we actively search for or receive personal data about candidates from other publicly accessible sources. When searching for potential candidates, we can find out information about you in external sources such as LinkedIn, Freelancermap or XING and other career networks. The same applies to recommendations. We often receive contacts of qualified IT experts from their colleagues but also from customers.


In these cases, we initially only store a minimal set of your personal data, consisting of:


  • first name and last name
  • place of residence or zip code
  • qualification focus (e.g. consultant, project manager)
  • Skills (z. B. SAP-FI, Java)
  • E-Mail-Address


We will then contact you "immediately" within the meaning of Section 121 Paragraph 1 of the German Civil Code (BGB) about the storage of this minimal data set and at the same time ask for your consent to process your personal data for the purposes mentioned above. If you do not consent or do not get back to us, we will delete this minimal data set within the legally permissible period.


b) Data processing


The data you transmit to us will be processed by us and protected against unauthorized access by third parties through appropriate technical and organizational precautions.


From your information, we usually create a qualification profile without a postal address, email address and other contact details (hereinafter "personal contact details"), but with information about your name, qualifications, gender, age, place of residence, nationality, availability, information from your profile, your photograph if applicable and information from the other data and files provided to us for the purposes of the presentation.


c) Comparison


Based on specific customer inquiries, we carry out a so-called "matching" to find out whether or not you are a good fit for a specific project offer and/or a job offer from one of our customers. This means that we filter out or derive skills and experience from the data you send us (in particular from the text of your CV, your project history, etc.) in order to then assign you to the customer inquiry partially automatically, automatically or manually.


Your qualification profile, which is stored in the Keil BS database or candidate pool, is made available to potential customers as a file. This gives potential customers the opportunity to read your qualification profile and evaluate or select it according to certain criteria. The qualification profile is therefore used to present you to the customer with the aim of realizing a project assignment or a permanent position with the customer. Keil BS will only send your qualification profile with information on commercial conditions to a potential customer with your prior consent - usually in the course of a telephone briefing; under no circumstances automatically.


Potential customers are not given the opportunity to search our database directly. Potential customers therefore have no access to your personal contact details. You always decide in each individual case which personal contact details you would like to send to a potential customer before or after they have been announced.


Naturally, we cannot accept any responsibility for the confidential, specific and data protection-compliant treatment of your transmitted data, in particular your personal contact details, by potential customers. Please bear this in mind in particular when providing data in your qualification profile, when providing further data and files for interview purposes and when releasing personal contact details to a potential customer, e.g. via a social network.


In order to be able to offer you project and/or job offers from our customers, the processing of your personal data or the data categories attached in the appendix is necessary. Your consent to data processing is therefore necessary:


You consent to your personal data (in particular the data categories listed in the appendix) being processed within the framework of this data protection declaration for the purpose of Keil BS presenting or offering you project offers (as a freelancer/subcontractor) or job offers (as a candidate for permanent employment) that correspond to your professional profile and your wishes or ideas. Keil BS may transmit your personal data to the extent necessary for the purpose of initiating a placement to potential clients/customers and/or employers.


If placement in a project or permanent position is not successful, you agree that Keil BS may process your personal data that you have provided as part of the entire recruitment process (for example in cover letters, emails, CV, references, telephone interviews) beyond the end of the specific recruitment process. Keil BS may also use this data to contact you later and continue the recruitment process, or if you are considered for another project or position with a customer.


This consent also applies to data about your qualifications and activities from publicly accessible data sources (in particular from professional/social networks) that Keil BS has legitimately collected as part of the research or recruitment process.


d) Data transmission


Your personal data will not be passed on to third parties without your express consent, unless this is necessary to provide the service or to execute the contract. Service providers commissioned by Keil BS are bound by this data protection declaration. The data will only be passed on to state institutions and authorities entitled to information within the framework of the statutory obligation to provide information or if Keil BS is obliged to provide information by a court decision. In addition, Keil BS will not pass on your personal data to other third parties or will only do so with your consent.


Furthermore, you agree that Keil BS may use anonymized user data for the purposes of consulting, advertising, market research and, for example, to improve the needs-based design of web/digital offerings.


Keil BS may contact you at any time by email, telephone or other channels for the purpose of placing you in a project as a freelancer or in a permanent position and/or because of current or project-relevant news.


The communication that has taken place between me, Keil BS and, if applicable, customers - whether by email, post, personal meetings or telephone - is historically documented in a Customer Relationship Management System (CRM). In addition to these direct contacts, the CRM also records internal notes or information that are relevant to the current or future recruitment process. This documentation helps us to process processes quickly, error-free and without loss of information, and to achieve an optimized service in line with your wishes and ideas over time.


This consent is voluntary and has no impact on your chances in the current recruitment process. You can revoke this consent in whole or in part at any time for the future by sending a corresponding message to datenschutz@keil-bs.com. By clicking the corresponding checkbox (opt-in) before sending your entered data to us, you consent to the processing of your data in accordance with this data protection declaration. The same applies if you send us your data by email or other appropriate means.

We will log this consent. You can access the current privacy policy at any time on this website.


Additional declaration for special categories of data according to Art. 9 EU GDPR


If you have provided us with "special categories of personal data" pursuant to Art. 9 of the General Data Protection Regulation (e.g. a photo that reveals your ethnic origin, information about severe disability, etc.) in documents submitted during the recruitment process, your consent also applies to this data. Keil BS would like to evaluate all candidates only on the basis of their qualifications and therefore asks that you refrain from providing such information or "special categories of personal data" if possible.


additional declaration "soft opt-in"


In principle, we must obtain your consent to process your personal data. According to Art. 6 of the EU GDPR, the General Data Protection Regulation is a so-called "prohibition law with reservation of permission". This means that the processing of your personal data is fundamentally not permitted as long as there is no permission to process it. Such permission is primarily your consent to data processing. Depending on what we specifically need your data for and how we collect it, we obtain this consent expressly via "opt-in" (see above) or implicitly or tacitly via "soft opt-in". The latter is particularly relevant for data collection from publicly accessible data sources and recommendations.


Consent via "soft opt-in" is particularly relevant if you have already dealt with us before and we are now advertising (other) services. If you give your consent via "soft opt-in", we assume that you have given your consent as long as you do not revoke it or expressly object. This procedure is generally of great benefit to you because, in addition to specific project or job offers, we can suggest other interesting options with regard to our collaboration.


In order to be able to assume your implied consent via “soft opt-in” for the cases described, the following conditions must be met: (a) We have received your email address in connection with our services, (b) we only use this address to promote our own services, (c) you have not objected to this use and (d) we clearly inform you in each message of your right to revoke or unsubscribe.


For other types of marketing, we are obliged to obtain your express consent.


4. Data protection for project providers / customers / Google customers


a) Data collection

If you, as a customer, are looking for highly qualified IT experts, you can send Keil BS a non-binding request (by email, telephone, fax or using the request for information contact form on our website) with details of your project or requirements. We will process the search requests you send us and, subject to availability, introduce you to a suitable IT expert by sending you a qualification profile. You cannot see any contact details, postal address or email address (hereinafter "personal contact details") from this anonymous qualification profile. However, you can see the qualification, gender, age, place of residence, nationality, availability, a photograph if applicable and information from the other data and files provided to us by the freelancer / candidate for the purpose of introduction. As a customer, you cannot search for IT experts yourself in our database. This research and (pre-)selection is carried out as a paid service exclusively by Keil BS.


A more detailed description of the personal data that we process about you as a (potential) customer / project provider or your employees as a user or company representative for the purpose of presenting and providing our services can be found in the appendix to this data protection declaration.


You do not need to give us separate consent for the processing of the data (if it is functional data), as the processing of your data – if it is personal data – is carried out on the basis of the legal permission provided for in Art. 6 (1) (f) EU GDPR.


b) Data collection via or from publicly accessible data sources & recommendations


Keil BS is a Google Maps reseller and specialized IT service provider, among other things, for the placement of highly qualified IT experts.

That is why we actively seek out or receive personal data from (potential) customers or their contacts/employees from other publicly accessible sources. This means that when we search for potential customers in external sources (usually via an internet search, but also via business portals such as LinkedIn, Freelancermap or XING and other job networks), we can find out information about you.


In these cases, we initially only store a minimal set of your personal data, consisting of:


  • first name and last name
  • E-Mail-Address
  • department/department
  • company headquarters or zip code
  • IT-related interests/needs


In the case of pre-contractual contacts for the initiation of business or subsequent cooperation, separate consent for the processing of data is not required, since the processing of your data - if it is personal data - is carried out on the basis of the legal permission provided for in Art. 6 Paragraph 1 Letter f) of the EU GDPR. If there is no cooperation or we cannot reach you, we will delete this minimal data set within the period specified by law.


c) Data storage and processing


The data and files you send to us in connection with your needs or the service you request will be stored by us and protected from unauthorized access by third parties through suitable technical and organizational precautions.

We use your data to create anonymized, web-based project or job offers (hereinafter "company data"), but with a precise description of your needs in the project or the requirements for the position or the candidate/freelancer, including the required soft and hard skills and other relevant information. These project or job offers can be viewed by potential freelancers/candidates via the search function available on the Keil BS website.


The communication that has taken place between you and Keil BS - whether by email, post, personal meetings or telephone - is historically documented in a so-called CRM system (Customer Relationship Management System). In addition to these direct contacts, the CRM system also records internal notes or information that are relevant to the current or future recruitment process. This documentation helps us to process processes quickly, error-free and without loss of information, and to achieve an optimized service in line with your wishes and ideas over time.


5. Duration of data storage


Your personal data will be deleted as soon as their processing is no longer required, the purpose of their processing no longer applies or your consent has no longer been given or has been revoked. Please note, however, that personal data must still be retained for the period in which claims can be asserted against our company (e.g. contractual limitation periods, statutory limitation periods of three to 30 years). We also store personal data if we are legally obliged to do so (in particular the Commercial Code, Tax Code, Social Code, Money Laundering Act, GoBD); the storage periods are up to ten years.


6. Order processing


Within the framework of the regulations on order processing (Article 28 EU GDPR), we are entitled to commission third parties to process personal data. In this case, the processing is carried out exclusively on our instructions and only for the purposes specified in the corresponding order processing agreement.


Data processing in the Keil BS


As a rule, all data that arise is processed exclusively within Keil Business Solutions GmbH. In the course of business related to Google, data that arise is also processed within the Keil KTM GmbH group of companies.

External service providers


We sometimes use external service providers to fulfil individual contractual and legal obligations. The following table contains a list of the contractors and service providers we use, with whom we have more than just temporary business relationships.

7. Increased security / cookies & BI tools
